Terms and conditions to request access to the Membership of Restricted Area of the EJCN
 

Formal requirements

  1. The Secretariat of the EJCN (hereinafter the Secretariat) sends an e-mail to the individual designated as a practitioner of competent national authorities, affiliated member or contact point of the European Network of contact points, for investigation and prosecution of genocide, crimes against humanity and war crimes (hereinafter the EJCN), to be one of the external users of the Membership Restricted Area of the EJCN website.
  2. The external user will inform via e-mail the Secretariat to xxxx@eurojust.europa.eu the following personal information:
    • First and last name
    • Home authority
    • Professional e-mail address from home authority (not functional or institutional mailboxes)
  3. The Secretariat, based on its internal review procedure, will review the received e-mail, and will grant access to the website to natural persons only and not to institutions or functional mailboxes.
  4. The Secretariat initiates the user creation procedure by establishing an account for the user. Once the user account has been established, an e-mail with the login details and the internet address of the Membership Restricted Area of the EJCN website will be sent to the user.
  5. Upon receiving the e-mail, the user shall perform the first login:
    • User connects to the internet address of the Membership Restricted Area of the EJCN website, as defined in the information received from the Secretariat; and
    • User inputs the username (the user's e-mail address) and the password given by the Secretariat.
  6. Upon the first successful login, the user is immediately required to choose a new password, consisting of at least 8 characters and containing at least three of the following character types: capital case letters, lower case letters, numbers and special characters (e.g. ABcd123*).
  7. The e-mail with the user personal information is kept by the Secretariat.
  8. Upon termination of the account, the e-mail will be deleted by the Secretariat.
  9. All external users are responsible for the accuracy of the information they disclose on the Membership Restricted Area or for any link to external sites, in accordance with the Rules of Procedure on the Processing and Protection of Personal Data at Eurojust (College Decision 2019-18). The Secretariat cannot be held responsible for the content of the information transmitted by the users for the Membership Restricted Area. 

Agreement

  1. The personal and contact details on this form are collected to give the Secretariat basic identity information about the user requiring the account.
  2. In accordance with the Data Protection Rules of Eurojust, external users will have access, upon request, to personal information provided by him/her to, and held by the Secretariat.
  3. The Secretariat will purge the collected data from its records immediately following the termination of the account. These data will be retained by Eurojust’s ICT User Support only for auditing purposes, for up to five years after termination of the account.
  4. By signing point 3 “User Agreement”, the external user agrees:
    • to use the provided username and login only to access the Membership Restricted Area of the EJCN website;
    • to keep secret and strictly personal the login page address (URL), the given user name and the password;
    • to abide by the security rules defined by Eurojust, e.g. password format;
    • to notify the Secretariat immediately should any suspicion arise that the login, username or password have been compromised or any attempt has been made to do so;
    • to notify the Secretariat of any changes in your designation as practitioner of competent national authorities, affiliated member or contact point of the EJCN, your termination or any changes in contact information;
    • in case of your replacement as practitioner of competent national authorities, the EJCN affiliated member or contact point, your access rights will be withdrawn;
    • never to exchange, post or provide any classified information in the Membership Restricted Area and to immediately inform the Secretariat of any classified information posted or otherwise available in the Membership Restricted Area;
    • not to comply or reply to any password change request receive; Eurojust will never ask the external user to change/communicate the password;
    • not to post any content containing illegal, xenophobic, predatory, discriminatory, threatening or harassing information or to post information for the purpose of commercial marketing;
    • that the Secretariat can remove any content posted by the user without providing a notification or reason for the removal;
    • that the user's activities, including username, IP address and use of the Membership Restricted Area of the EJCN website, will be logged purely for administrative and security purposes and retained electronically for a maximum period of one (1) year;
    • that content posted by the user will remain on the Membership Restricted Area of the EJCN website even after the user's account has been terminated unless the user manually removes his/her posts prior to termination of the account;
    • that the platform providing the Membership Restricted Area of the EJCN website will place small data files called ‘session-cookies’ on their computer for security purposes and the storing of navigation settings; and
    • that access to the Membership Restricted Area of the EJCN website can be closed at request of the Secretariat without prior warning.

EJCN Support Team makes no representations or warranties as to whether the information accessible via the website, or any website to which the material is linked, is accurate, complete, or current. The user is responsible for evaluating the accuracy and completeness of all information, opinions and other material on the website or any website to which the material is linked.

The information you provide to the EJCN Support Team for the creation of your account will be processed solely for the purpose for which the form is intended and will only be accessed by Eurojust ICT User Support officers responsible for creating the account and the authorised staff members of the EJCN Support Team on a need to know basis only. The data controller is the EJCN Support Team.

You have the right to access/correct/block or delete your personal data, as defined in the Regulation (EU) 2018/1725 of 23 October 2018 on the protection of natural persons with regard to the processing of personal data by the Union institutions, bodies, offices and agencies and on the free movement of such data, and repealing Regulation (EC) No 45/2001 and Decision No 1247/2002/EC.

Any request for access, rectification, blocking and/or erasing your personal data should be directed to the data controller, EJCN Support Team, via ejcn@eurojust.europa.eu.
